                   Rent Collection

Rent collection is the most fundamental function of a property manager Depending on the lease it can be monthly, quarterly, half yearly or yearly.Our management team ensures that rent is paid on time and in full.  Our organization has devised methods to ensure that only reputable and reliable tenants are given space and where arrears are inevitable we liaise closely with our lawyers to recover the same.  The terms of the lease are well designed to restrain defaulters.We offer the following services to ensure effective rent collection

  • Projections and collection of rent and service charge
  • Maintenance of rent and service charge registers
  • Payment of land rates and rent
  • Payment of utility bills i.e. water and electricity

Rent Accounting, Record Keeping and Reporting

In order for the landlord to be able to monitor the performance of a property, we prepare comprehensive annual budget and reports as agreed on all the aspects of the property and premises. In addition we have monthly/quarterly briefs which are incorporated in the rent statement and briefing reports on any changing factors in the period ending e.g. rent escalation, expenses etc. In doing this we keep the landlord well informed of all our activities in managing the property

Sub-Contracting

In undertaking the services requested by our clients we sub-contract part of the services to a third party. However we do enter into any contractual understanding with such third parties. We also fully disclose the fully identity, the proposed relationships and contractual understanding between our clients and the sub-contactor and this disclosure should be included.

Security/ Guarding Services

Upon assuming management of premises, we make arrangements in close consultation with the landlord for security and guarding services. In liaison with a reputable and cost effective security firm, we assess the best security arrangement for the property. We contract local service providers from reputable security firms to provide guarding services and shall supervise to ensure quality service delivery.

Staff Administration and Handling of Industrial Disputes

Our experience in the industry helps us to manage trade disputes by avoiding the pitfalls, which cause their occurrence. We ensure a safe and peaceful working environment. Members of staff sign working contracts with clear working terms.

                     Cleaning

  • As property managers we device ways and methods on how the common areas of the building are cleaned, such as lobbies, staircases, toilets, windows, basement, flower gardens etc
  • Normally a reliable cleaning firm is subcontracted depending on our understanding with the property owner.
  • Cleaning services include normal cleaning and dusting, carpet, chairs and curtain cleaning, maintenance of plants and gardens, fumigation and pest control, sanitary and toiletry services, cleaning of signage and facials and garbage collection
  • Contracting of Cleaning Services providers with the agreement of the landlords
  • Evaluation of Quality of service in accordance with the agreed service level

      Maintenance of Contracts

 

  • Maintenance will include servicing and repairs of Generators, lifts, Air Conditioners and Fire Safety Equipment.
  • We ensure downtime is kept to the minimum
  • We ensure Maintenance and repair costs are at the minimum
  • We ensure Quality of service is at the top notch
  • We promptly settle bills
  • We contract and vet sub providers of services

Property maintenance, Renovations and Repairs

  • The maintenance of a building is usually an obligation of the landlord and us being his representative, should always organize for property maintenance in consultation with the landlord
  • It is also our duty to ensure that the tenants keep the property in good condition
  • We clearly explain the Landlord’s policy on repairs to the tenants at the time of entry and the tenant’s duties and responsibilities.
  • We make regular inspections of the property on half yearly basis and submit reports with any necessary recommendations on improvements to the property
  • We provide the following services upon consultation with the landlords:
    • Minor electrical repairs and replacement of bulbs
    • Plumbing repairs and replacements
    • Re-painting/redecoration and replacement of damaged floor tiles, doors, door locks, etc
    • Leakage repairs
    • Carry out regular inspections to ensure sub-contracted service providers are performing at optimum levels.
    • In conjunction with landlords develop a maintenance policy and program
    • Carry out an initial assessment of repair/renovation requirements for all facilities and present detailed report for action
    • Prepare repair/renovation specifications and obtain float cash from landlords
    • Prepare comprehensive annual maintenance budgets
    • The property manager contracts service providers for the above services

Maintenance of Service Charge Accounts

Service charge accounts exist for the benefit of tenants.  The account is maintained in respect of the aggregate amount expended by the landlord form time to time.

Quality services must be provided equitable to the value of their money.  This account is maintained and availed upon request for the inspection by tenants and landlords to ensure that: –

All charges in respect to electricity consumed in the premises in the common parts of the building including the operation of all electricity operated apparatus and machinery there in.

The services of such cleaners as the landlord shall consider necessary for cleaning and keeping tidy the common parts of the building.

Water consumed in and conservancy charges payable in respect of the building and in the common parts of the building.

The services of a caretaker or the premises manager, the services of such security staff as the landlord shall consider necessary for the protection of the premises both during the day and night.

Refuse collection and any other services, which the landlord may provide.

All repairs and maintenance not being of structural a nature

The costs of the public liability and fire insurance policies
